Position Overview
The Accounting Assistant and Office Operations Manager will play a dual role in ensuring the financial integrity of the organization and maintaining the smooth operation of day-to-day office activities. This position requires an organized, detail-oriented individual capable of multitasking and adapting to a dynamic work environment. The ideal candidate will collaborate across departments and support both the accounting and administrative functions, including human resources support when needed.
Key Responsibilities
Accounting Assistance
Process and record daily financial transactions, such as invoices, expense reports, and purchase orders.
Manage accounts receivable and accounts payable, ensuring timely billing and payment.
Assist with monthly, quarterly, and year-end closing procedures, including journal entries and reconciliations.
Maintain accurate financial records, documentation, and filing systems.
Collaborate with external auditors, finance professionals, and other departments to resolve discrepancies.
Office Operations Management
Oversee front office operations including reception, mail distribution, and office supply inventory.
Maintain and update office policies, procedures, and ensure compliance with company standards.
Coordinate facilities maintenance requests and office equipment repairs.
Support internal communication by scheduling meetings, organizing company events, and developing office-wide announcements.
Assist with onboarding and offboarding processes, including coordination of workstations and access.
Vendor & Procurement Support
Source and coordinate with vendors for office supplies, services, and necessary equipment.
Negotiate contracts and handle vendor relationships to ensure best pricing and service levels.
HR & Administrative Support
Maintain employee records and assist with timekeeping and payroll tracking.
Provide support for staff travel arrangements and expense reporting.
Assist in the coordination of staff training, health & safety policies, and compliance requirements.
Qualifications:
Associate’s or Bachelor’s Degree in Accounting, Finance, Business Administration, or a related field.
Experience: 2+ years of combined experience in accounting/bookkeeping and office administration (preferred in a manufacturing or related industry).
Software Proficiency: Familiarity with accounting software (e.g., QuickBooks, Sage, or similar) and Microsoft Office Suite (Word, Excel, PowerPoint).
Language Skills:
Mandarin and English bilingual is strongly preferred.
Excellent written and verbal communication skills in English are required.
Work Authorization: Valid U.S. work authorization is required; in-person work is required.
Additional Skills:
Strong organizational and multitasking abilities.
Keen attention to detail for data accuracy and compliance.
Excellent interpersonal skills to collaborate with diverse teams and external vendors.
Ability to handle confidential information with discretion.
Problem-solving skills and resourcefulness, especially under deadlines.
Proactive approach to process improvement in both accounting and office operations.
